What Does Collate Mean When Printing?

Collated printed document sets

Collate controls page order when printing multiple copies of a multi-page document. It does not change page count, ink, toner, or paper use; it only changes how the pages are grouped as they come out.

Does this affect you?

Use this if you are printing more than one copy and see a Collate checkbox near the Copies setting. If you print only one copy, the setting has no effect.

Simple example

Imagine a 3-page document printed three times.

  • Collated: pages come out 1, 2, 3, then 1, 2, 3, then 1, 2, 3. Each set is ready to hand out or staple.
  • Uncollated: pages come out 1, 1, 1, then 2, 2, 2, then 3, 3, 3. You must sort sets afterward.
  • Use collated for handouts, packets, reports, contracts, and most ordinary multi-copy jobs.
  • Use uncollated only when a workflow needs all copies of each page grouped together, such as some booklet or finishing setups.

Where to find it

After choosing more than one copy, Windows usually shows a Collate checkbox near the copy count. On Mac, look in the Copies & Pages area of the print panel.

More control

A backward-looking stack may still be collated

Some printers stack pages face-up and others face-down. The top-to-bottom stack may look reversed even when each copy is grouped correctly.

Collate does not save supplies

Collated and uncollated jobs print the same number of pages. Only the order changes.
