How to Recall a Sent Email in Outlook

Outlook recall can sometimes remove or replace a sent message, but only under narrow conditions. Treat it as a quick first attempt, not a guarantee that a mistake has vanished.

Does this affect you?

Use this for classic Outlook desktop on Windows with Microsoft 365 or Exchange accounts. Recall does not work for Outlook.com, Gmail, most outside recipients, Outlook for Mac, Outlook on the web, or mobile Outlook apps.

Recall or replace a sent message

Act quickly, before the recipient opens the email.

  1. Open Sent Items in Outlook desktop for Windows.
  2. Double-click the message so it opens in its own window.
  3. On the Message tab, open Actions and choose Recall This Message.
  4. Choose Delete unread copies of this message, or Delete unread copies and replace with a new message.
  5. Leave the success or failure report option checked if you want a notice for each recipient.
  6. Click OK.
  7. If replacing the message, edit the corrected email and send it.

Outlook sends status reports showing whether recall succeeded or failed. Check those reports instead of assuming the original message was removed.

What to do when recall fails

Failure is common, especially if the recipient already opened the email or is outside your Exchange organization.

  1. Read the recall status message to see why it failed.
  2. Send a brief correction or follow-up message if the mistake is ordinary.
  3. Contact the recipient directly when the issue is urgent.
  4. If sensitive information was sent to the wrong person, involve your IT or security team immediately.

Know the requirements

Classic recall generally needs both sender and recipient on Microsoft 365 or Exchange inside the same organization, using Outlook desktop for Windows, with the original message still unread. External mail systems cannot be reached and cleaned up this way.

Use delayed delivery next time

In Outlook desktop, create a rule for messages you send and add defer delivery by a number of minutes. A short delay gives you time to catch wrong attachments, recipients, and typos before the message leaves.

Use Undo Send where available

Outlook on the web and some newer Outlook experiences offer Undo Send as a brief send delay, often up to 30 seconds. It is prevention, not true recall after delivery.

Understand device copies

A recall can fail even when the server copy is removed if a recipient already downloaded the message to a phone, offline Outlook profile, or another synced device.
