How to Set the Print Area in Excel So You Only Print What You Need

Excel often prints more than the table you care about because it remembers used cells and formatting far outside the visible work area. A print area tells Excel exactly which cells should be printed from that sheet.

Use this for Excel for Microsoft 365, Excel 2021, and Excel 2019 on Windows or Mac when print preview shows blank pages, extra columns, or more sheets than expected.

Set a print area

The setting is saved with the workbook for that sheet.

  1. Select the cells you want to print.
  2. Open the Page Layout tab.
  3. Click Print Area in the Page Setup group.
  4. Choose Set Print Area.
  5. Press Ctrl+P or Cmd+P and check the preview.

Only the selected range prints from that sheet until you clear or replace the print area.

Add to, replace, or clear the print area

Use these options when the table changes.

  1. To add another range, select it and choose Page Layout > Print Area > Add to Print Area.
  2. To replace the print area, select the new full range and choose Set Print Area again.
  3. To remove the setting, choose Page Layout > Print Area > Clear Print Area.

Adding a separate range can create a separate printed block or page. To extend a single table, selecting the full larger range and setting it again is usually cleaner.

Fit the table onto pages

A print area chooses what prints; scaling controls how it fits.

  1. Open Page Layout and use the Scale to Fit controls, or open the full Page Setup dialog.
  2. Set Width to 1 page if the table keeps splitting sideways.
  3. Set Height to 1 page only if the text remains readable.
  4. Try Landscape orientation before over-shrinking a wide table.
  5. Check Print Preview again.

More control

Repeat column headers

Use Page Layout > Print Titles and set Rows to repeat at top so every printed page includes the header row.

Move page breaks

Open View > Page Break Preview. Drag the blue page-break lines to keep related rows or columns together.

Adjust margins

Use Page Layout > Margins > Custom Margins, or Page Setup from Print Preview, to fit content neatly without making text too small.

Remember it is per sheet

Print areas belong to individual worksheets. If a copied sheet prints everything again, set the print area on that copied tab too.
