Many meeting platforms can now create AI summaries and action items without a separate notetaker app. The exact button depends on whether you use Zoom, Microsoft Teams, or Google Meet, and the feature usually needs to be enabled on your account.

Turn on the built-in AI notetaker for your platform
Pick the tool your meeting already uses.
- Zoom: During the meeting, click AI Companion in the toolbar and choose Meeting Summary. After the call, look for the summary in Zoom Docs or the email notification, with action items separated from the general recap.
- Microsoft Teams: Start recording or transcription from Record and transcribe > Start recording. Afterward, open the meeting from your calendar and check Intelligent recap, Notes, or Recap for AI notes, action items, and links to moments in the recording.
- Google Meet: During the call, open Activities or the three-dot menu and choose Take notes with Gemini if your Workspace plan includes it. The notes are created as a Google Doc and shared according to the meeting settings.
- If the button is missing, the feature may require a paid tier or administrator approval. Ask your IT admin or account owner to check.
Summarize any recorded meeting manually
This works when you have a recording or transcript but no built-in AI recap.
- Record the meeting using the call platform or a voice recorder, with everyone’s knowledge and consent.
- Get a text transcript from the platform, recorder, or transcription tool.
- Paste the transcript into ChatGPT, Claude, or Gemini.
- Ask: Summarize this meeting transcript and list action items with owners and deadlines where mentioned.
- Review the summary before sharing it, especially names, decisions, numbers, and action owners.

Announce recording and transcription
Consent rules vary by country and, in the United States, by state. Even when not strictly required, announce that the meeting is being recorded or summarized by AI at the start.
Treat the recap as a draft
AI summaries can mishear names, confuse speakers, miss sarcasm, and flatten technical details. Check the recap against the recording or your memory before sending it as the official record.
Check sharing defaults
Built-in notes may be saved to Zoom, Teams, or Google Docs and shared automatically with attendees. Review platform settings if notes include sensitive topics.
