Word columns make text flow down one column and continue at the top of the next, much like a newspaper. The same feature works for newsletters, event programs, handouts, reference sheets, and short document sections that need a compact layout.
Does this affect you?
Use this for Word for Microsoft 365, Word 2021, and Word 2019 on Windows or Mac when you want the whole document, or only part of it, to use two or more flowing text columns.
Apply columns to the whole document
Use this when every page should follow the same column layout.
- Click anywhere inside the document.
- Open the Layout tab.
- Click Columns in the Page Setup group.
- Choose Two, Three, or another preset.
- For exact sizing, choose More Columns and set the number, width, and spacing manually.
Word reflows the document immediately. As you type, text fills the first column, then continues at the top of the next column automatically.
Apply columns to only part of the document
Use this when a title, intro, or closing section should remain full width while only the body text is split.
- Select only the text that should become columns.
- Open Layout > Columns.
- Choose the number of columns.
- Word adds section breaks before and after the selection so the column layout applies only there.
If the columns start too early or run too far, the section break is not in the right place. Turn on formatting marks and adjust the breaks.
Control starts, endings, and manual column breaks
Use formatting marks when Word is flowing text somewhere unexpected.
- On the Home tab, click the Show/Hide paragraph-mark button so section breaks become visible.
- To move where columns begin or end, delete the misplaced section break and reapply columns to the corrected selection.
- To force text into the next column, click where the jump should happen and choose Layout > Breaks > Column.
- Use Ctrl+Shift+Enter on Windows for the column-break shortcut.
More control
Change widths and spacing
Open Layout > Columns > More Columns. Clear Equal column width if you want one narrow column and one wider column, then set each width and the space between them.
Add a vertical line
In the More Columns dialog, check Line between to draw a thin divider in the gap between columns.
Balance uneven columns
If the last columns look badly uneven, place the cursor at the end of the columned text and insert a Continuous section break. This often helps Word balance the final section.
Return to normal text
Click inside the columned section, open Layout > Columns, and choose One. If another part of the document still shows columns, click inside that section and repeat.
