
Offline does not always mean the printer is off. Windows may have cached an old unreachable status and failed to check again after the printer woke up or rejoined the network.

Use this for Wi-Fi, Ethernet, or USB printers on Windows 10 or Windows 11 when the printer is on but Windows says Offline.
Tell Windows to use the printer and restart spooler
This forces Windows to refresh the status.
- Open Settings > Bluetooth & devices > Printers & scanners. On Windows 10, open Devices > Printers & scanners.
- Select the printer and open the queue.
- Open the Printer menu and uncheck Use Printer Offline. Press Alt if the menu is hidden.
- If it still stays offline, open Services with services.msc.
- Restart Print Spooler and try printing again.
Reconnect the printer to the network
Use this if offline returns or the printer Wi-Fi light is blinking.
- Check the printer wireless or network light.
- Reconnect it through Wireless Setup Wizard or Network settings if it is not connected.
- Remove the printer from Windows.
- Add it again from Printers & scanners.
- Print a test page.
Give the printer a fixed IP address
Use this for recurring offline problems every few days.
- Print a network configuration page to find the printer IP and MAC address.
- Open the router admin page or router app.
- Find DHCP Reservation or Address Reservation.
- Reserve the printer current IP for its MAC address.
- Restart the printer so it uses the reserved address.

Sleep mode can look offline
Some printers appear offline briefly while waking. If pressing a button brings it back, wait a few seconds before printing.
USB offline is different
For USB printers, try a direct USB port, avoid hubs, and reseat or replace the cable before changing network settings.
Update the driver
If the printer self-test works but Windows cannot reach it, install the latest full driver from the manufacturer.
