Printer Not Detected via USB? How to Fix the Connection

You connected a printer with USB, but Windows or Mac does not show it, no setup popup appears, and it is missing when you try to print. This guide is for printers connected directly by USB, not Wi-Fi or network printer setup.

Does This Affect You?

A USB printer that is not detected is usually caused by a bad cable or port, a printer that is not fully awake and ready, an unresolved printer error, or a missing driver. These are normal setup problems and usually do not mean the printer needs repair.

Check the Cable, Port, and Printer Status

Start with the physical connection and printer readiness.

  1. Make sure the printer is actually powered on, not only plugged into the wall. Its display or status light should be active.
  2. Unplug the USB cable at both ends and reconnect it firmly.
  3. Try another USB port directly on the computer instead of a hub or dock.
  4. Swap in another USB cable if you have one, especially if the current cable has been bent, pinched, or tightly coiled.
  5. Check the printer display or lights for paper jam, open cover, low ink, or other errors that can stop USB setup.

Install or Update the Printer Driver

The computer may need the model-specific driver before it recognizes the printer correctly.

  1. On Windows, open Settings > Bluetooth & devices > Printers & scanners and click Add device.
  2. If it does not appear, download the full driver package for the exact HP, Canon, Epson, Brother, or other model from the manufacturer website.
  3. On Mac, open System Settings > Printers & Scanners, click the plus button, and check for the USB printer. Install the manufacturer macOS driver if needed.
  4. Run the installer completely, restart, and reconnect the USB cable after the restart.
  5. If the installer asks, choose USB connection rather than network or wireless setup.

Reset the USB Printer Entry in Windows

Use this if Windows has a stale or duplicate printer record.

  1. Open Printers & scanners.
  2. If the printer appears with an error or offline status, remove it, then unplug USB.
  3. Restart the computer and reconnect the printer after Windows loads.
  4. Open Device Manager and remove any printer-related warning entry under Print queues or USB controllers, then reconnect the printer.

Test with another computer and the same cable if possible. If it works there, focus on the original computer drivers or ports. If the printer fails across multiple computers and cables, its USB port or controller may have failed. For USB-C-only laptops, try a better USB-C to USB-A adapter before assuming the printer is bad.
