How to Fix Duplicate Emails in Outlook

Duplicate messages in Outlook usually come from account setup, server-copy settings, rules, or a local sync cache. Cleaning the inbox helps, but first stop new duplicates from arriving.

Does this affect you?

Use this for Outlook desktop on Windows or Mac with Microsoft 365, Exchange, IMAP, or POP accounts when every message appears twice or more in the inbox. The best fix depends on the account type.

Fix the setting causing new duplicates

Start with account and rule settings so the problem does not return.

  1. Open File > Account Settings > Account Settings.
  2. On the E-mail tab, check whether the same email address appears more than once. If it does, remove the duplicate account entry.
  3. If the account is POP, open its settings, choose More Settings > Advanced, and review Leave a copy of messages on the server. Coordinate that setting across devices so mail is not downloaded repeatedly.
  4. Open File > Manage Rules & Alerts and look for rules that copy, forward, or move messages in a way that leaves duplicate-looking copies.
  5. Save changes and restart Outlook.

After the duplicate account, POP setting, or rule is fixed, new incoming mail should stop duplicating. Existing duplicates still need cleanup.

Remove duplicates already in the inbox

Use Outlook cleanup before deleting by hand.

  1. Select the folder with duplicates, usually Inbox.
  2. Open the Home tab.
  3. Click Clean Up in the Delete group.
  4. Choose Clean Up Folder or Clean Up Folder & Subfolders.
  5. Confirm the cleanup.

Outlook moves redundant messages in the same conversation to Deleted Items rather than immediately erasing them.

More control

Fix duplicates only on mobile

If duplicates appear only in the Outlook mobile app, remove the affected account from the app and add it again. That forces a clean local sync.

Forwarding may create expected copies

If you forward mail to another account while keeping the original, the message legitimately exists in two mailboxes. Turn off forwarding if you no longer want both.

Be cautious with cleanup add-ins

Duplicate-removal add-ins need broad mailbox access. Use trusted tools only, and try the built-in Clean Up feature first.

Ignore rare one-off duplicates

An occasional duplicate message may not be worth changing account settings if no pattern exists and the checks above are clean.
