How to Archive Emails in Outlook and How That Is Different from Deleting

Archive and Delete both remove a message from the inbox view, but they do not mean the same thing. Archive keeps the message in an Archive folder; Delete sends it to Deleted Items, where it can eventually be removed.

Use this for Outlook for Microsoft 365, Outlook.com, Windows, Mac, web, and mobile when you want an inbox cleanup that keeps old email searchable and recoverable.

Archive emails manually

This is the quick cleanup method.

  1. Select one email, or hold Ctrl and select several.
  2. Click Archive in the toolbar or Home tab. It usually looks like a box with a downward arrow.
  3. On mobile, use the configured swipe action if Archive is assigned to a swipe.
  4. Check the Archive folder if you need to confirm where the message went.

The message keeps its read/unread state and content. It simply moves out of Inbox.

Set up AutoArchive

AutoArchive is mainly for classic desktop Outlook with PST-based accounts.

  1. Open File > Options > Advanced.
  2. Find AutoArchive and click AutoArchive Settings.
  3. Check Run AutoArchive every and choose a schedule.
  4. Choose the age cutoff for old items.
  5. Select Move old items to and choose or create an archive file location.
  6. Avoid Permanently delete old items unless you truly want messages erased.
  7. Click OK.

More control

Find archived messages

Look for the Archive folder in the folder list. If you cannot see it, search for the message from Outlook search because archived messages are normally searchable.

Online Archive is different

Some Microsoft 365 workplaces provide a separate Online Archive mailbox. That is controlled by IT policy and is not the same as the manual Archive folder or a local AutoArchive PST.

Move a message back

Open Archive, find the message, and drag it to Inbox, or right-click and choose Move > Inbox. Archive is reversible.

Undo a recent archive

Press Ctrl+Z immediately after archiving if Outlook is still open. Later, just move the message back from Archive.
