The Mail app on Mac can automatically add your name, title, phone number, website, or a small logo to outgoing messages. You can create different signatures for different email accounts.
This guide applies to Apple Mail on recent macOS versions with iCloud, Gmail, Outlook, or other accounts already added.
Does This Affect You?
Use this if you want a reusable signature for new messages, a shorter version for replies, or separate signatures for work and personal accounts.
Create and Assign a Signature
- Open Mail.
- Choose Mail > Settings from the menu bar.
- Open the Signatures tab.
- Select the email account in the left column, or choose All Signatures if you want to create one first and assign it later.
- Click the + button.
- Enter your signature text in the editor on the right.
- Rename the signature in the middle column, such as Work, Personal, or Short Reply.
- Use the account’s signature dropdown to choose which signature should be inserted by default.
- Close Settings. Mail saves the signature automatically.
Add a Logo or Image
- Open Mail > Settings > Signatures.
- Select the signature you want to edit.
- Drag the image file from Finder into the signature editor.
- Resize it if Mail allows, or resize the original image before adding it.
- Keep the image small so messages load quickly and look professional.
Signature Tips
Switch Signatures Per Message
In a compose window, use the Signature dropdown to pick a different signature without changing the account default.
Remove It from One Email
Even when Mail inserts a signature automatically, you can click into the message body and delete it before sending that one email.
If the Signature Does Not Appear
Return to Mail > Settings > Signatures, choose the correct account, and make sure its default signature dropdown is not set to None.
Keep Formatting Simple
Some recipients or mail services strip fonts, colors, and images. Plain text plus one small logo is less likely to break or look like an attachment.
