Most modern printers work with a Mac through USB, Wi-Fi, or AirPrint. If the printer is powered on and connected to the same network, macOS can often find it automatically without extra software.
This guide applies to macOS Ventura, Sonoma, Sequoia, and nearby versions with USB, Wi-Fi, or local-network printers.

Use these steps after buying a printer, connecting one by USB, or trying to add a network printer that should appear when you print.
Add a Printer Automatically
- For USB, connect the printer directly to the Mac if possible and turn it on.
- For Wi-Fi, make sure the printer is connected to the same Wi-Fi network as the Mac.
- Open System Settings > Printers & Scanners.
- If the printer appears, select it and click Add.
- If it does not appear, click the plus button and wait while macOS searches.
- Select the printer, confirm the Use menu shows AirPrint or the correct driver, and click Add.
Add a Printer Manually by IP Address
- Open Printers & Scanners and click the plus button.
- Choose the IP tab.
- Enter the printer’s IP address from its screen, network page, or printed configuration page.
- Choose a protocol. LPD works for many printers if you are unsure.
- Choose the exact driver if available, or AirPrint/Generic PostScript when appropriate.
- Click Add.

Set the Default Printer
Use the Default printer menu in Printers & Scanners so macOS automatically selects the printer you prefer.
Check Same Network
Guest networks and isolated Wi-Fi bands can prevent discovery. Restart the printer and toggle Mac Wi-Fi if needed.
Advanced Features May Need Manufacturer Software
AirPrint handles basic printing, but scanning, ink levels, and maintenance features may require the printer maker’s Mac app or driver.
Clear Stuck Jobs
Open the printer queue, select the stuck job, and cancel it. One frozen job can block everything behind it.
Remove a Printer
Select the printer in Printers & Scanners and use the minus button to remove it.
