How to Make a Chart or Graph in Excel

Excel can turn a plain table of numbers into a chart in a few clicks. The key is selecting the right source range first, then choosing a chart type that matches the story your data is meant to tell.

Use this for Excel for Microsoft 365, Excel 2021, Excel 2019, Excel for Mac, and Excel for the web when a table is hard to understand at a glance and would be clearer as a bar chart, line chart, pie chart, scatter plot, or similar visual.

Insert a chart from your data

Start here when your data is already arranged with labels and headers.

  1. Select the full data range, including column headings and row labels.
  2. Open the Insert tab on the ribbon.
  3. In the Charts group, choose Recommended Charts to let Excel suggest suitable options.
  4. Preview the suggested charts and pick the one that explains the data best, then click OK.
  5. If you already know the type you want, choose a specific chart icon instead, such as Column, Bar, Line, Pie, or Scatter.
  6. Drag the chart by its edge to move it, or drag a corner handle to resize it.

To rename the chart, click the Chart Title placeholder and type a clear title that describes what the viewer is seeing.

Pick the best chart type

The chart type matters because different visuals answer different questions.

  • Column or bar chart: best for comparing categories, such as sales by region or scores by person.
  • Line chart: best for trends over time, such as monthly revenue, traffic, or expenses.
  • Pie chart: best for showing parts of one whole. Keep it to one data series and only a few slices.
  • Scatter chart: best for comparing two numeric measurements, such as hours studied and test score.

If you are unsure, Recommended Charts is a good first pass. You can always change the chart type later without rebuilding the chart from nothing.

More control

Expand the chart when data grows

When you edit the original cells, the chart updates. To include extra rows, click the chart and drag the colored border around the source range so it includes the new data.

Change chart type or style

Select the chart, open Chart Design, and use Change Chart Type to switch from one visual style to another. Use Change Colors and Quick Layout for built-in color and layout choices.

Add data labels

Select the chart and use the plus button beside it, or the Chart Design options, to turn on Data Labels so exact numbers appear on bars, points, or slices.

Save the chart as an image

Right-click the chart and choose Save as Picture when you need a PNG or JPG for an email, presentation, or document that should not stay linked to the workbook.

Mac and web notes

Excel for Mac uses the same Insert and Chart Design ideas. Excel for the web supports common chart types, though some advanced formatting options are not as deep as the desktop app.
