- Acknowledge the caller’s frustration genuinely before moving directly into technical troubleshooting
- Maintain a calm, professional tone throughout the interaction
- Use this de-escalation approach to create space for genuinely understanding the actual issue
- Recognize when supervisor involvement might be appropriate if the interaction doesn’t de-escalate
