Best AI Note-Taking Apps: How to Pick the Right One

AI note-taking apps fall into two main groups: tools that record and summarize meetings, and note apps that organize or summarize notes you write yourself. Picking the right type matters more than chasing the longest feature list.

Does this affect you?

Use this when choosing an AI notetaker for meetings, lectures, personal notes, work calls, or class notes on Windows, Mac, iPhone, or Android.

Figure out which type you actually need

Start with the workflow, not the app name.

  • Meeting transcription: Use a meeting-bot or platform tool when you need Zoom, Google Meet, or Teams calls recorded, transcribed, summarized, and turned into action items.
  • AI-organized notes: Use a general notes app with AI when you type your own notes and want help summarizing, tagging, searching, or rewriting them.
  • Occasional one-off summaries: You may not need a subscription. Record with a voice memo app, use a transcription feature or free transcription tool, then paste the transcript into ChatGPT, Gemini, Claude, or another assistant for a summary.
  • Platform fit: If your company already uses Teams or Google Meet, built-in Copilot or Gemini meeting notes may be simpler than inviting an external bot to every meeting.

Solid options in each category

Check current free limits and plan requirements before committing.

  • Meeting transcription with a free tier: Otter.ai can join calls, transcribe audio, and generate summaries and action items, with limits on free usage.
  • Built into your meeting platform: Microsoft Teams with Copilot and Google Meet with Gemini can provide recaps and notes on qualifying business or education plans.
  • General AI note apps: Apple Notes, Google Keep, Notion, and similar tools can summarize or organize notes you create manually.
  • No-install workflow: Record audio with a phone, transcribe it, then ask an AI chatbot for decisions, action items, and a short summary.

More control

Check company rules first

Some employers restrict third-party meeting bots because call audio and transcripts may contain confidential information. Built-in platform tools are often easier for IT and legal teams to approve.

Tell people when a meeting is transcribed

Meeting tools often show a bot or recording notice, but it is still good practice, and sometimes legally required, to say that the call is being transcribed.

Summaries matter more than raw transcripts

A full transcript is often too long to act on. Ask for decisions, action items, owners, deadlines, and unanswered questions. That output is usually more useful than every spoken word.

Free plans can stop midstream

If a free notetaker stops transcribing during a long meeting, you may have hit the monthly or per-meeting minute limit. Check the app usage dashboard before assuming the service is broken.
