How to Sort Data in Excel – By Column, Date, or Multiple Levels

Sorting Excel data is simple until only one column moves and the rows no longer match. The safest habit is to click inside the data and let Excel expand the sort range so every row travels together.

Use this for Excel for Microsoft 365, Excel 2021, Excel 2019, and Excel for the web on Windows or Mac when lists need alphabetical, numeric, date, color, or multi-level sorting.

Sort by one column

This handles most everyday sorting.

  1. Click one cell in the column you want to sort.
  2. Open the Data tab.
  3. Click A to Z, Z to A, Smallest to Largest, or Largest to Smallest as appropriate.
  4. If Excel shows a Sort Warning, choose Expand the selection unless you intentionally want to sort only one column.

Choosing Expand the selection keeps each row intact. If the result looks wrong, press Ctrl+Z or Cmd+Z and try again with the full table selected.

Sort by multiple columns

Use levels when you need a primary order and a tiebreaker.

  1. Click inside the data.
  2. Open Data > Sort.
  3. Check My data has headers if the first row contains labels.
  4. Choose the primary Sort by column and order.
  5. Click Add Level.
  6. Choose the Then by column and its order.
  7. Add more levels if needed and click OK.

Excel applies the first rule, then uses the following rules to sort records that match on earlier levels.

Sort dates correctly

Dates that sort incorrectly are often stored as text.

  1. Click a date cell and check alignment. Real dates are usually right-aligned; text dates often sit left-aligned.
  2. To convert text dates, select the column and open Data > Text to Columns.
  3. Choose Delimited, click through the wizard, then set the column data format to Date with the correct order, such as MDY.
  4. Finish the wizard, then sort oldest-to-newest or newest-to-oldest.

More control

Sort by color or icons

Open Data > Sort and change Sort On to Cell Color, Font Color, or Conditional Formatting Icon. Then choose which color or icon should come first.

Use a custom order

For orders like Small, Medium, Large, create a custom list in Excel options or preferences. It then appears as an Order choice in the Sort dialog.

Avoid scrambled rows

Keep the data in one continuous block without fully blank rows or columns. Blank columns can make Excel think the table stops early.

Convert repeated sort ranges to a Table

Press Ctrl+T or Cmd+T to make the range an Excel Table. Header filter arrows and table boundaries make repeated sorting safer.
