Printer Not Printing: How to Fix It Step by Step

Printer not printing from laptop

When nothing happens after you press Print, the job is often stuck between the app and the printer. A blocked queue, offline state, wrong printer, driver problem, or app-specific print failure is more likely than a broken printer.

Does this affect you?

Use this for wireless, USB, or network printers on Windows or Mac when there is no obvious error and no page comes out.

Clear a stuck print queue

A stuck older job can block new jobs silently.

  1. On Windows, open Settings > Bluetooth & devices > Printers & scanners, select the printer, and open the queue.
  2. Cancel jobs at the top that show Printing, Error, or no movement.
  3. If jobs will not cancel, restart the Print Spooler service from Services.
  4. On Mac, open Printers & Scanners, open the printer queue, and remove stuck jobs with the X button.
  5. Print a simple one-line test document.

Check the printer itself

Make sure the printer is actually ready before chasing computer settings.

  1. Confirm the power light is on and no error light is flashing.
  2. Check paper is loaded and the tray is fully seated.
  3. Open the ink or toner area and confirm cartridges are clicked in.
  4. Look for warning icons, cover messages, or jam lights.
  5. For wireless printers, confirm the Wi-Fi light is solid.

Set the right printer and reinstall if needed

Jobs may be going to an old, duplicate, or virtual printer.

  1. On Windows, turn off automatic default-printer management if it keeps choosing the wrong printer.
  2. Set the correct physical printer as default.
  3. Remove duplicate entries for the same printer.
  4. Remove and add the printer again for a clean driver and connection.
  5. On Mac, remove the printer and add it again from Printers & Scanners.

More control

Test another app

If Notepad or TextEdit prints but a browser, PDF reader, or Office app does not, focus on that app or file.

Try printing from a PDF

Saving or exporting to PDF and printing that copy can bypass a corrupted app layout or document renderer.

Install the full driver

Manufacturer drivers can fix silent failures caused by generic Windows or macOS-installed drivers.

Restart in order

Turn off the printer, restart the computer, then turn the printer back on and wait for full startup before printing.
