How to Troubleshoot Printer Problems: Step-by-Step Checklist

Printer failures usually come from a short list of causes: the printer is not really connected, the wrong printer is selected, a stuck queue is blocking later jobs, or the driver needs to be refreshed. Work through the list in order.

Use this checklist when an inkjet or laser printer will not print, shows an unclear error, or does not respond from Windows, macOS, USB, Wi-Fi, or Ethernet.

Run the full troubleshooting checklist

Most fixes are found in the first few steps.

  1. Check power, paper, ink or toner warnings, and any blinking lights on the printer itself. Note the exact light pattern if one appears.
  2. Confirm the connection. Reseat USB cables, or print a network configuration page and verify the printer has a valid IP address on the same network as the computer.
  3. Restart the printer, wait about 20 seconds, and turn it back on.
  4. Clear the print queue. On Windows, open Printers & scanners, select the printer, open the queue, and cancel stuck jobs. On Mac, open Printers & Scanners and clear queued jobs.
  5. Confirm the correct printer is set as default so jobs are not going to another device or Print to PDF.
  6. Restart the computer to refresh the print system and rediscover the printer.
  7. Download the latest full driver package from HP, Epson, Canon, Brother, or the correct maker for your exact model.
  8. Print a test page from the printer settings.

If the test page works

When the printer test page prints but one app fails, the problem is usually the app print setting, file, or account permissions rather than the printer itself.

Restart the Windows Print Spooler

If jobs repeatedly stick in the queue, open Services, find Print Spooler, right-click it, and choose Restart. This clears many corrupted queue states without a full reboot.

Remove and add the printer again

If driver updates do not help, remove the printer entry completely and add it again. That forces a fresh connection and driver handshake.

Test from another device

Print from a phone or second computer. If that also fails, focus on the printer or network rather than the original computer.
