A printer that does not appear at all is different from one that appears as offline. If the printer is missing from the device list or disappears right after you add it, the issue is usually USB detection, driver installation, Wi-Fi discovery, VPN, or firewall behavior.

Fix a USB printer that is not detected
Start here if the printer connects with a cable.
- Try a different USB port directly on the computer rather than a hub or dock.
- Try a different USB cable if available. Printer cables fail too.
- On Windows, open Device Manager and look under Printers or Other devices for the printer or a warning triangle, then update the driver.
- On Mac, open System Settings > Printers & Scanners, click the plus button, and check Nearby Printers.
- Restart both printer and computer, then reconnect USB after both finish starting.
Fix a Wi-Fi printer that is not detected
Use these when the printer is wireless but does not appear when adding it.
- Check the printer network status or print a network configuration page. Look for a valid IP address, not 0.0.0.0 or Not Connected.
- Make sure the computer and printer are on the same Wi-Fi network, not separate guest or isolated networks.
- On Windows, open Printers & scanners, click Add device, wait, then choose manual add by IP address if discovery fails.
- On Mac, open Printers & Scanners, click plus, then check both Default and IP tabs.
- Temporarily disconnect VPN software because it can block local printer discovery.
- Check third-party firewall or security suites for network printing or file-and-printer sharing exceptions.
