How to Use Automator on Mac to Automate Repetitive Tasks

Automator lets you chain built-in actions into a workflow, then run that workflow with one click or from Finder. It is useful for repeated file tasks such as renaming, converting images, resizing files, moving items, or combining PDFs.

Automator is included with macOS.

Use Automator if you repeat the same multi-step file job often and want a no-code way to make the Mac do it for you.

Create a Finder Quick Action

  1. Open Automator from Spotlight or Applications.
  2. Choose Quick Action in the template picker.
  3. Set the workflow to receive files or folders in Finder.
  4. Search for an action such as Convert Image Format, Rename Finder Items, or Resize Images.
  5. Double-click the action to add it to the workflow area.
  6. Configure the action options.
  7. Save with Command + S and give the Quick Action a clear name.
  8. In Finder, right-click selected files, open Quick Actions, and run your workflow.

Create a Standalone Automator App

  1. Open Automator and choose Application.
  2. Add actions in the order they should run.
  3. For a fixed-folder workflow, add Get Specified Finder Items, then add the folder or files.
  4. Add follow-up actions such as Rename Finder Items or Move Finder Items.
  5. Click Run to test on safe sample files.
  6. Save the workflow as an application and double-click it whenever you need it.

Test on Copies

Automator can overwrite, rename, or move real files. Duplicate important files first with Command + D and test the workflow on the copies.

Automator vs Shortcuts

Shortcuts is newer and can sync ideas across Apple devices, but Automator remains helpful for Mac-only Finder and file-management workflows.

Add a Keyboard Shortcut

Open System Settings > Keyboard > Keyboard Shortcuts > Services to assign a key combination to a Quick Action.
